Are you ready to take on a dynamic role that keeps our departments running smoothly and efficiently?

We are seeking an enthusiastic and organized Administrative Specialist 1 to join our team and manage the flow of guests for several key departments including our executive offices, legal, audit, risk and compliance, and patient relations. This position is integral to maintaining the seamless operation of our facilities and ensuring a positive experience for all visitors.

 

Key Responsibilities:

  • Manage the flow of guests for departments including our executive offices, legal, audit, risk and compliance, and patient relations.
  • Manage conference room calendars, order supplies, and support other assistants with various projects.
  • Handle basic issues and problems, referring more complex issues to higher-level staff.
  • Answer inquiries and obtain information for the general public, customers, visitors, and staff in an expedient, professional, and courteous manner.
  • Perform word processing functions and other data entry in a variety of computer programs (e.g., meeting minutes, correspondence, spreadsheets, forms, reports, flyers, and other materials). May train others in system usage. Extract data as requested.
  • Maintain calendars, schedule appointments and meetings, sort and route incoming mail, order office supplies, and copy/fax documents as required.
  • Prepare and maintain departmental information, including, invoice payments, web information, and check requests.
  • Perform other duties and responsibilities as assigned.

Minimum Qualifications:

  • Education: High school diploma or equivalent
  • Experience: 0 years' experience

 

Preferred Qualifications:

  • Experience in administrative support, project coordination, and C-Suite meeting and event management preferred.
