Are you passionate about making a tangible impact through grants and contracts? We’re looking for a dynamic and detail-oriented Grants Specialist to join our team.

 

In this role, you’ll play a pivotal part in ensuring compliance, tracking financials, and providing administrative support for a variety of grant programs. You’ll gain hands-on experience in the lifecycle of grants—from review and submission to monitoring and audit support—while working closely with project directors and legal teams. Ultimately, you will have the opportunity to manage your own grants, ensuring smooth and efficient program operations.

What You Can Expect

  • Grant & Contract Review: Under close supervision, review grants and contracts to identify and resolve compliance issues, ensuring adherence to state and federal laws, as well as established organizational policies and procedures.
  • Post-Award Grant Accounting, Reporting & Administrative Support: Assist in the preparation of accounting entries (transactions and journals) related to assigned sponsored programs, ensuring proper recordkeeping and accurate reporting, providing support for financial reporting, invoicing, and billing activities. Collaborate closely with project directors and ensure steps are being completed in a timely manner.
  • Program Lifecycle Management: Implement and monitor checklists to ensure that critical steps in the grant process are completed, tracking the status of each assigned program, including deadlines, milestones, and progress. 
  • Department Grant Lifecycle Management: Maintain an overview of all department awards and ensuring all involved parties are informed and on track.
  • Audit Preparation & Compliance: Assist with the preparation of audit work, ensuring that grant and contract activities meet all financial, regulatory, and legal requirements. Collaborate with auditors to provide necessary documentation.
  • Government Registration: Assist with annual registration for government entities to maintain eligibility for grant applications. Monitor and update necessary information to ensure continuous compliance.
  • Documentation & Legal Coordination: Handle the submission of documents, including contracts and award letters, for legal review and signature. Ensure all legal requirements are met before grants are executed.

 

Qualifications

  • Bachelors degree or experience in lieu of degree
  • One (1) year relevant experience

Preferred Qualifications

  • Bookkeeping experience or a strong understanding of financial principles.
  • Experience in reading and interpreting contracts, particularly related to grants and sponsored programs.
  • Familiarity with government rules and regulations as they pertain to grants and contracts.
  • Solid Microsoft Office Suite (Excel, Teams, Outlook, etc.) skills.
  • Familiarity with Adobe Acrobat (with editing access).
  • Experience in grants management, finance, or contract administration.
  • Grant management software experience.
